When Henry Ford developed the assembly line technique of mass production, it became a hit because it saved time. It also promoted consistency in production. All things were built in the same way, saving time and money.
Everything has a system including doing laundry or washing dishes, so let’s talk about Systems for your Direct Sales business.
Create a system for taking an order from someone whether by phone or in person at a Party. Group the tools you will need for taking those orders together so they are on your desk, in a drawer, or in your carrying case: catalogs, order forms, pens, calculator, etc.
Carry it out farther to include your Customer Service System: sending a thank you email, sending a thank you card (we’ll cover this more fully in CUSTOMER CARE). Follow-up phone calls to make sure product is satisfactory, arrived undamaged, and has been used. At least trial opening and closing of an ink pad or punch is mandatory to replacement when necessary and needs to be within the first 30 days of ownership.
A system for booking your parties should include your own company’s recommended host coaching. Something I learned from John Sanpietro was to let the host know “what’s next”. It made it so easy for me to start the phone calls with a host when she had already been told I would be calling on Tuesday next week. I use that statement all the time now! It’s become a system all its own that I’m going to end my emails to a customer and phone calls to a host, to tell them “what’s next”. Basically telling them, “you can count on me to get back in touch with you on this certain day to follow up!”
A system for delivering your products could then include, “what’s next” and might even get you thinking that you now have 7 customers who bought your favorite product and your system for follow-up could include a tutorial, a recipe, a recommended inclusion to that new bag, etc.
A system for orienting your new Team Member to the business, the website, the group meetings, … not to mention what you do to add their address and phone and email and website to your records!
A system for everything will save you time and will go a long way to developing your comfort zone with meeting and recruiting new customers, Team Members, and hosts. Whatever you do to show comfort and ease with your business will encourage others around you. Customers know they can depend on you to show them more than what you just showed them at the last Class or Party. Team Members know they can depend on you to show them how to do a few things more smoothly and whatever you show them can easily be shown to the people they start recruiting. Hosts know that you aren’t expecting them to just phone a dozen people and get only two people at their show because you can be depended upon to coach them with ideas each week, and they know when you’re going to call!
